Profil Zaufany vs mObywatel for Karta Pobytu 2026: What to Set Up Before PLN 440 + 100

Profil Zaufany vs mObywatel 2026: Karta Pobytu Guide

Profil Zaufany vs mObywatel for Karta Pobytu 2026: what Sri Lankan workers need to file in MOS, PLN 440 + 100, and one deadline. Ask us on WhatsApp.

Your permit ends in six weeks. Your WhatsApp group has three opinions: 'just use mObywatel', 'you need Profil Zaufany', 'your bank app is enough'. You have one free evening and zero patience for guessing wrong.

If you're a Sri Lankan worker preparing a Karta Pobytu (Polish residence permit) application, the Profil Zaufany vs mObywatel question decides whether you can even open the form. Since 27 April 2026, temporary residence applications go through one online portal only: MOS. No paper forms, no post, no walking into the urząd with a folder. So let's sort out which login does what, in plain words, before you spend a single zloty.

So, Profil Zaufany or mObywatel: which one does MOS actually ask for?

Short answer: plan around Profil Zaufany. The official MOS pages say you enter through login.gov.pl, and that the application must be signed electronically with a Profil Zaufany, a qualified electronic signature or a personal signature. Signing with Profil Zaufany costs PLN 0. For a worker without a Polish qualified signature, Profil Zaufany is the realistic tool.

Two more facts from the same sources. A representative cannot create the MOS account or file on your behalf, so your employer, a friend or an agent cannot log in as you. And if you had an account in the old MOS before 27 April 2026, you need to create a new one. Details are in the official MOS questions and answers and on the foreigners' portal.

What about mObywatel? It's the government's phone app that Poles use for digital documents and services. We could not find an official statement that it replaces Profil Zaufany for signing a MOS application, so we don't tell clients to build their filing around it. Think of mObywatel as a useful extra, not as the key that opens the door.

What does Profil Zaufany need before it works?

Profil Zaufany is free (PLN 0) and, once confirmed, stays valid for 3 years. The catch is not the price. The catch is the order of steps, and people who skip a step lose days they don't have.

  1. Get your PESEL first. Foreigners can have a Profil Zaufany only with a Polish PESEL number, and the form asks for it.
  2. Apply for the profile and choose how to confirm your identity: through the login of a Polish bank if you have one, or in person at a confirmation point (punkt potwierdzający).
  3. Log in once and check the validity date shown in your profile. Take a screenshot and set a phone reminder two months before it ends.
  4. Set up e-Doręczenia as well. It also needs Profil Zaufany, and it is the electronic mailbox where the office sends you letters and requests.

No Polish bank account yet? That is normal in the first months of work. Our guide on Profil Zaufany without a bank account walks through the in-person route, and Do You Need Profil Zaufany in Poland? explains why PESEL comes before everything else.

The mailbox part matters more than it looks. A request from the office that you never see is how a normal case turns into a refusal. We covered the setup in e-Doręczenia and MOS: what applicants must set up since 27 April 2026; the steps are the same for Sri Lankan applicants.

Where does mObywatel actually fit in?

mObywatel is the app Poles use for digital documents and public services. Whether it works for you depends on your documents, your PESEL status and your phone setup, and the rules for foreigners keep changing. So our advice is boring and safe: don't make the app your single point of failure.

If you already have the app on your phone and it works, good. Keep it. Just don't discover on filing day that it cannot sign the form you need.

How do you log in and sign in MOS, step by step?

Once your Profil Zaufany works, the MOS part is a series of small steps. Here is the order we use with clients.

  1. Open the MOS portal (mos.cudzoziemcy.gov.pl) and choose to log in through login.gov.pl.
  2. Log in with your Profil Zaufany and create your new MOS account. An old account from before 27 April 2026 will not carry over.
  3. Choose the right application: for work, that is the single permit for residence and work. Have your employer's documents and your passport scan ready.
  4. Fill in the form and upload the attachments. Keep file names simple and files readable; a blurry scan is a reason for a request.
  5. Sign the application electronically with your Profil Zaufany.
  6. Pay the state fees and keep both confirmations. Save a copy of everything you submitted.

For the list of papers itself, use Karta Pobytu for Work 2026: 9 documents, PLN 440 + 100. For the screen-by-screen route, see MOS Online Residence Application: 6 steps.

What does it cost, and which deadline matters?

The login tools cost nothing: Profil Zaufany is PLN 0 and signing with it is free. The state fees are separate. At the time of writing, the stamp duty is PLN 440 for a permit that covers residence and work, PLN 340 for residence without work, and PLN 100 for issuing the card. These are two separate payments, so budget for both. Check the current amounts on the foreigners' portal before you pay, because fees are changed by law.

Now the deadline. Temporary residence applications must be filed no later than the last day of your legal stay in Poland. Not the day your employer 'gets around to it'. Not the day the stamp arrives. Count backwards from the last legal day and leave a week for the login steps, because the identity confirmation is the part that can slip.

If you want to know what the process looks like end to end, read TRC Process in Poland 2026: online only since 27 April.

An illustrative example (a composite, not a real client): Dilshan, a Sri Lankan warehouse worker in Łódź, found out on a Friday that he had a PESEL but no working Profil Zaufany and no Polish bank login. We lined up an in-person confirmation, he signed on Monday and filed two days before his legal stay ended. His permit date never moved. The order of the steps did.

Practical tip: build your Profil Zaufany before the permit becomes urgent. Log in once, check the validity date, screenshot it, and add a reminder. Then filing day is a 40-minute task, not a crisis.

Frequently asked questions

Can my employer or HR create my MOS account and sign for me?

No. According to the official MOS information, a representative cannot create the account or submit the application for a foreigner. Your employer can prepare their part of the documents, but you must log in and sign personally with your own Profil Zaufany. Never hand over your login.gov.pl details.

Is Profil Zaufany really free, and how long does it last?

Yes, getting it and signing with it costs PLN 0. A confirmed profile is valid for 3 years, and it can be extended for another 3 years or allowed to lapse. After you log in, the validity date is shown in your profile. Check it now, not on filing day.

I have a PESEL but no Polish bank account. Can I still get Profil Zaufany?

Yes. The bank route is only one way to confirm your identity. You can also confirm in person at a confirmation point. Book it early, because you need a working profile before you can sign anything in MOS.

Do I need a new MOS account if I used the old system before 27 April 2026?

Yes. The official guidance says that if you had an account in the previous MOS, you have to create a new account in the new system. Old logins and half-finished drafts do not carry over, so start from zero and don't wait for the last week.

What if I'm already close to the last day of my legal stay?

Don't wait and see. Late filing can change your position and what you are allowed to do while you wait for a decision. Message us today with your permit end date and we will tell you the quickest safe route to a signed application.
