MOS Online Residence Application Poland 2026: Nepali Guide

MOS online residence application in Poland 2026 for Nepali workers: 6 steps, PLN 440 + 100 fees, one deadline. WhatsApp us for a free quick check.

It's Monday night. Your legal stay in Poland ends on Friday, and your HR manager just messaged: 'Please apply through MOS, thanks!' There is no paper form to print and no queue to join. There's just a website you've never opened. If that's your evening, breathe. A MOS online residence application in Poland is a job you can finish in one sitting, as long as you know the order of the steps and the one date that matters. Here is the 2026 version, written for Nepali workers, step by step, with the fees in PLN and the mistakes that cost people weeks.

So, what exactly changed with MOS online in 2026?

Until spring, plenty of people printed a form, queued at the urząd wojewódzki (the voivodeship office) or posted a thick envelope. That ended on 27 April 2026. Since then, applications for temporary residence (Karta Pobytu, the Polish residence permit), permanent residence and EU long-term resident status are filed through one website: mos.cudzoziemcy.gov.pl. Paper applications that had not reached the voivode's office before that date are not considered. A few narrow cases sit outside the system, so if yours is unusual, ask before you start.

The good news: an electronically filed application is enough to open your case. You don't print it and post it afterwards. What has not changed is the deadline. You file no later than your last day of legal stay in Poland. Not the day after. Not 'we'll fix it on Monday'. The official overview for foreigners lives on gov.pl/web/cudzoziemcy.

This guide follows the most common path for Nepali workers: a first or renewed temporary residence permit tied to a job. If you are on another path (study, family, business) the system is the same, but the attachments differ. Our walkthrough Karta Pobytu via MOS Online 2026: 7 Steps, Two Separate Payments, Zero Paper Forms shows the same flow from a slightly different angle.

Do you need Profil Zaufany before you can even log in?

Yes. To create an account in MOS you need a trusted profile, called Profil Zaufany, and you reach the portal through login.gov.pl. Adult foreigners open their own account. Parents or guardians open it for a minor. The finished application is signed with a qualified electronic signature, your Profil Zaufany, or a personal signature (e-ID). For most workers, Profil Zaufany is the realistic option.

Here is where days get lost: people start the MOS form first and discover the Profil Zaufany problem at 10pm on the last evening. Do it the other way round. Get the profile this week, log in once to test it, and only then think about the application. If you don't have a Polish bank account, read Profil Zaufany Without a Bank Account. It was written for Indian workers, but it shows how the options work, and you can check each step against your own situation or ask us.

Which 6 steps make up a MOS online residence application?

Short version, in order. Do all six in one sitting if you can, and keep the browser tab open until you have the confirmation.

  1. Log in at mos.cudzoziemcy.gov.pl through login.gov.pl with your Profil Zaufany and create your account.
  2. Choose the type of application and the purpose of stay. For most Nepali workers on a job, that means temporary residence and work. Match it to what your employer's documents say, because a mismatch here causes questions later.
  3. Fill in the form. Copy your name, passport number and dates exactly as printed in your passport, not as your payroll spells them.
  4. Pay the two fees (details in the next section) and save both confirmations as PDFs.
  5. Upload the attachments: a current digital photo, scans of all pages of your valid travel document, proof of payment, and the documents your permit type requires. The employer's papers deserve the most care.
  6. Sign with Profil Zaufany, submit, and download the UPO, the official confirmation of receipt. Save it in three places.

Notice what is not on the list: printing, posting, queuing. The next in-person step is usually fingerprints, when the voivode summons you.

How much does it cost, and why are there two payments?

Two payments, two different recipients, and people mix them up. First, the stamp duty (opłata skarbowa) for the application itself: PLN 440 for temporary residence and work, including work in a profession requiring high qualifications, and PLN 340 for most other temporary residence cases, such as running a business. That money goes to the local government, not to the voivode. Second, PLN 100 for issuing the card itself, paid to the voivode. For a standard work-based case that is PLN 540 in total.

If someone files for you under a power of attorney, add PLN 17 in stamp duty. Account numbers and payment titles depend on the office, so copy them from the voivode's official page (for Warsaw, start at uw.gov.pl) and never from a WhatsApp group. Fees can change, so check the current figure before you pay. The two-payment logic is also explained in our 7-step MOS post.

Here is how it looks in real life (an illustrative composite, not a named client). Bikash, a warehouse operator from Pokhara, had six days left on his stay when he opened MOS. He paid the PLN 440 stamp duty, forgot the PLN 100 card fee, and got stuck at the upload screen at midnight. The next morning he paid the second fee, attached both confirmations and submitted with two days to spare. His UPO now sits on his phone, in his email and on a USB stick.

Practical tip: Pay both fees and save the confirmations as PDFs before you open the upload screen. Name the files plainly (passport.pdf, stamp-duty.pdf, card-fee.pdf) so you are not scrolling through your gallery at midnight.

What happens after you press submit, and what about fingerprints?

Download the UPO immediately. It proves you filed, and on which day. If you filed within the deadline and the application had no formal defects, or you fixed them within the time the voivode gave you, the voivode issues a certificate confirming that you submitted. Your stay is then legal from the date of effective filing until the decision becomes final. Keep every document that proves it. More details are in the UdSC questions and answers on MOS.

Later the voivode may summon you to give fingerprints. That has to be done in person; no portal can do it for you. Check your MOS messages and your email every day while the case runs, because a missed request is the most avoidable way to lose time. For timelines, read How Long to Wait for a Karta Pobytu in 2026: 60 days by law, longer in practice. If the employer's side is incomplete, what the employer must do shows their checklist. And if a negative decision ever arrives, the appeal window is short: see Karta Pobytu Refused? 14 Days to Appeal.

One more honest caution. Travelling abroad while your case is pending is its own topic, and the answer depends on your documents. Ask before you book a ticket to Kathmandu.

Frequently asked questions

Can I still file a paper application at the urząd in Warsaw?

For temporary residence, permanent residence and EU long-term resident status, applications have gone through MOS only since 27 April 2026. Paper applications that had not arrived at the voivode's office before that date are not considered. A few narrow categories sit outside the system, so if your case is unusual, ask us before you turn up with a folder.

HR says they'll file it for me. Do I still need Profil Zaufany?

The application is signed with a qualified signature, a Profil Zaufany or a personal signature. If someone files for you under a power of attorney, an extra PLN 17 stamp duty applies. Never hand over your login to anyone, and ask for a copy of everything that gets filed in your name, including the UPO.

What happens if I miss the last legal day by one day?

The rule is to file no later than the last day of your legal stay. If you are past it, your stay is no longer covered by a timely filing, and guessing makes it worse. Do not wait for Monday. Message us the same day with your passport page and the date your stay ends.

I uploaded the wrong scan. Can I fix it?

Usually yes. If the application has formal defects, the voivode sets a deadline to remedy them, and a timely fix keeps the filing valid. That is why you read every MOS message and email daily. Upload the corrected file inside the deadline, and keep proof that you did.

Do I pay PLN 440 or PLN 340 for the application?

For temporary residence and work, including work in a profession requiring high qualifications, the stamp duty is PLN 440. For most other temporary residence cases, such as running a business, it is PLN 340. On top of either, you pay PLN 100 for the card to the voivode. Check the current figures on gov.pl before paying.
