e-Doręczenia and MOS for Filipinos: Setup Guide 2026

You've got a job, a passport, and a Karta Pobytu (Polish residence permit) that runs out in a few months. A friend from the same dormitory says, 'Just post the papers, that's what I did last year.' Stop right there. Since 27 April 2026, a paper application for a Polish residence permit is simply not processed. Everything goes through the MOS portal, and everything the office wants to tell you arrives in an electronic mailbox called e-Doręczenia. So what actually changed on 27 April 2026?

On 27 April 2026 the Office for Foreigners (UdSC) switched on MOS 2.0, the new case-handling portal. From that day, applications for a temporary residence permit, permanent residence and EU long-term resident status are filed online only. Two consequences matter for you. First, to open a MOS account you need a confirmed Profil Zaufany, Poland's free government login. Second, the whole case now runs electronically. Summonses to complete your documents, the date of your fingerprint appointment and the date you collect your card are delivered to your e-Doręczenia mailbox. Not to your dormitory door. Not to your WhatsApp. If you never open that mailbox, the office's messages just sit there unread.

Here is the order that saves you from backtracking:

1. Get your PESEL number if you don't have it yet.
2. Confirm your Profil Zaufany.
3. Open your e-Doręczenia address and mailbox.
4. Create your new MOS account and fill in the application.
5. Pay the fees and attach the confirmations: PLN 440 stamp duty plus PLN 100 for the card.

Do you need Profil Zaufany before anything else?

Yes. Profil Zaufany is the key that opens both MOS and the e-Doręczenia mailbox, so every other step waits for it.

It's a free electronic identity that carries your name, date of birth and PESEL. That's why the order is PESEL first, then Profil Zaufany, then e-Doręczenia. There are several ways to confirm your Profil Zaufany:

• through the online banking of your Polish bank;
• in a video call with an official;
• in person at a confirmation point.

Filipino applicants have one extra trap: names. Many passports show two given names, a middle name and a surname, and one missing letter or an abbreviated middle name is enough for one system to disagree with another. Copy your name exactly as printed in your passport, character by character, in Profil Zaufany, in the e-Doręczenia application and in MOS. Five minutes of checking now beats a request to correct your data later.

How do you open the e-Doręczenia mailbox, step by step?

Good news: it's one online application, and you sign it with the Profil Zaufany you've just set up.

1. Open the official page where you get an e-Doręczenia address from a public provider: gov.pl e-Doręczenia.
2. Log in with your Profil Zaufany.
3. Fill in the application for an address and a mailbox. You'll give a contact email and a mailing address. If someone else will manage the mailbox for you, the form also asks for that person's name, surname, PESEL and email. For most workers the administrator is simply you, so think twice before handing your mailbox to anyone.
4. Sign the application electronically with Profil Zaufany.
5. Log in to the new mailbox once before you start your MOS application, so you know it actually works.

• PLN 440 stamp duty (opłata skarbowa) for the application. This is the usual amount for a temporary residence permit; some permit types have a different fee, so confirm yours before paying.
• PLN 100 for issuing the residence card itself.
• MOS is free to use. You can file on your own, without any intermediary.
• Digital files: a scan of every page of your passport, a digital photo and the payment confirmations.
• A signature: you sign the electronic application with Profil Zaufany, a qualified electronic signature or a personal signature.

Don't ignore it, and don't panic. Read it, get it translated if you need to, and act on the date written inside it.
