You open the MOS website to file your Karta Pobytu (Polish residence permit) application. The system says: log in with Profil Zaufany. You don't have one. Then you read online, "Just confirm it through your bank." But your only account is back home, or you don't have a Polish bank account yet, or the bank's app keeps rejecting your documents. So what now? Good news: you can get a profil zaufany without a bank account. It's free, it takes a few steps, and it's the same profile that people with bank access get.
What is Profil Zaufany, and why does MOS ask for it?
Profil Zaufany (Trusted Profile) is your free digital identity in Polish public services. It lets you log in to government websites and sign documents electronically, with the same legal effect as a handwritten signature. You only need a PESEL number to register, and signing documents with it costs nothing.
For us the key point is this: since 27 April 2026, applications for temporary residence, permanent residence and EU long-term resident status go through the MOS online system only. You log in to MOS with a Trusted Profile and sign the application there. The official starting point for all of this is the gov.pl page for foreigners. No Profil Zaufany means no way into the filing, so this small step blocks everything else.

Step zero: do you already have a PESEL number?
Everything starts with PESEL, the Polish personal ID number. The Trusted Profile is built on it, and the name and PESEL data must match exactly.
Many foreigners already have a PESEL and don't know it. If you registered your address in Poland for a permanent or temporary stay of at least 30 days, the number is normally assigned at that registration. Look at your registration confirmation, or ask the office where you registered.
If you don't have one, you must apply separately. The application is free and can be filed at any municipal office (urząd gminy or urząd miasta) in Poland. From 1 January 2026, a non-EU citizen is expected to appear in person to file it. Bring your passport or Karta Pobytu and a document showing why you need the number, for example your work contract, your planned MOS filing or the need to use public e-services. Be specific: if the legal basis is vague, offices can refuse.
Which ways of confirming a Trusted Profile work without a bank?
Poland's Ministry of Digital Affairs describes several ways to set up the profile. Not all of them fit a person without a Polish bank account.
- Online banking: the fastest route, but it needs an account in a participating Polish bank. This is exactly what you're skipping.
- In person at a confirmation point (punkt potwierdzający): you register online, then show your document to an official who confirms your identity. This is the main route for most foreign workers.
- Video conversation with an official: the official confirms you by video call. It's listed as an option, and it's mostly aimed at people who can't use banking. Availability and slots change, so check the current rules on the official profile site.
- e-ID with an electronic layer or a qualified electronic signature: only if you already hold one, which most newcomers don't.

How do I do the in-person route, step by step?
Here's the order that works. Keep it in this order, because mixing the steps is where people lose weeks.
- Get your PESEL first (see above). Write it down and keep the confirmation.
- Go to the official Trusted Profile website and start the registration. Choose "register", fill in the form, and pick a login and password you will remember.
- Enter your first name and surname exactly as they appear in your identity document and in the PESEL register. One different letter and the profile can't be confirmed.
- Choose confirmation at a point in person. The system will show offices near you. Some take walk-ins, others want an appointment, so check before you travel.
- Go within the time limit shown on the site. Sources we checked indicate a window of about 30 days from registration, so don't leave it for later and check the exact deadline on the screen.
- Bring your original document: passport or Karta Pobytu (a PESEL alone is not enough). An official confirms you, and the profile becomes active.
- Log in once to test it, and save the recovery details somewhere safe.
Cost: nothing. Profil Zaufany is free, and so is confirming it. If anyone asks you for money to "activate" it, walk away.
What goes wrong with names and documents?
This is where most refusals at the counter happen, and almost all of them are avoidable.
- Name mismatch. Indian passports often have one name only, or the order of given name and surname differs from what the office typed into PESEL. Match the passport letter by letter, and fix the PESEL record first if it's wrong.
- Expired document. An expired passport or card won't be accepted for confirmation. Check dates before you go.
- Wrong office. Not every office is a confirmation point. Use the list on the official site, not a guess.
- Group visits. Offices don't confirm profiles in bulk, so each person comes with their own document.
Example (illustrative, not a real client): Suresh, a warehouse supervisor from Gujarat, wanted to renew his residence permit in MOS. He had registered a Trusted Profile twice and confirmed neither, because his surname was spelled differently in his PESEL record. He lost a week at the counter. Once the spelling was corrected at the municipal office, confirmation took ten minutes.
Practical tip: before registering the profile, put your passport next to your PESEL confirmation and compare every letter of your name. Fix any difference at the municipal office first, then register.
Once you have it: MOS, renewal and what comes next
With the profile active, you log in to MOS through the national login and create your account. MOS accounts are personal: a representative under a power of attorney can't create one for an adult, so you must do this yourself (parents or guardians do it for minors).
