Rahim clicked "Submit" at 11:40 p.m., three days before his permit ended. He felt relief for about a week. Then an official message arrived: the proof of payment didn't match the name in his application, and he had a deadline to fix it. He nearly missed it, because he hadn't checked his messages.
That's the pattern behind most problems with karta pobytu online submission (the Polish residence permit application filed through MOS). The portal itself isn't hard. The small mistakes are. This guide lists the errors Bangladeshi applicants make most often in 2026 and how to avoid each one before you click anything.
What actually changed with MOS online submission?
Since 27 April 2026, applications for temporary residence, permanent residence and EU long-term resident status are filed only electronically, through the MOS portal run by the Office for Foreigners. There is no paper form to carry to the urząd wojewódzki (voivodeship office) any more. You log in yourself through login.gov.pl with a Profil Zaufany, fill in the form, attach scans and pay online.

Access to MOS is free. The only costs are the stamp duty and the card fee. For a work-based temporary permit the stamp duty is PLN 440, and the residence card costs PLN 100 (stamp duty ranges from PLN 340 to PLN 640 depending on the permit type, per the Office for Foreigners' MOS information). Anyone asking you for "portal fees" is not charging an official fee. If you want the full click-by-click order, read our 6-step MOS walkthrough.
Which payment mistakes cost the most time?
Payments are where most cases wobble. MOS needs proof of both payments: the stamp duty and the card fee. They are two separate payments, not one.
- Error 1: paying one amount instead of two. Pay PLN 440 (stamp duty) and PLN 100 (card) separately, and keep both confirmations.
- Error 2: the payer's name doesn't match the applicant. If a friend, cousin or employer pays from their account, the transfer shows their name. Write the applicant's full name in the transfer details exactly as in the passport.
- Error 3: paying before the case type is clear. Decide the exact permit type first (for example, work) so the fee fits the purpose in the form.
Take a screenshot or PDF of each confirmation the moment you pay. Bank apps in Bangladesh and Poland both lose old receipts surprisingly fast.
Why do passport scans and name spelling cause so many summons?
MOS asks for a digital copy of all pages of your travel document and a current digital photograph. "All pages" means blank pages too, if the office could treat them as part of the document. A phone photo with a thumb in the corner is not a scan.
- Error 4: partial or blurry passport scans. Use a flat, well-lit scan of every page, one file or clearly labelled files.
- Error 5: names that don't match across documents. Bangladeshi names are often written Md., Mohammad or Mohammed, and some passports show a single name only. If your passport prints one spelling, use that exact spelling in the form, the payment, the employer's documents and your housing papers.
The photo has its own rules, and the employer's paperwork must also line up with the application. Our karta pobytu for work checklist lists the nine documents, including the one page that sinks cases.
What happens if you file late or miss the official message?
The application must be submitted by the last day of your legal stay. Not the week after, and not "when HR sends the letter". The rules for legal stay while the case is pending depend on filing in time, so a late click can change your whole situation. See the gov.pl information for foreigners for the official rules.
- Error 6: filing at the last minute. A portal outage, a failed payment or a rejected upload at 11 p.m. leaves no room to fix anything. Aim to file well before the final week.
- Error 7: not checking where official letters arrive. After a summons, the voivode gives you at least 14 days from delivery to bring documents confirming the data in your application, and at least 7 days to appear in person for fingerprints and a signature sample. These clocks start at delivery, not when you open the message.
Letters from the office now travel electronically. Set up your delivery address and read our guide on e-Doręczenia and MOS so a summons never sits unread.
How do you do a clean submission, step by step?
Use this order. It prevents most of the errors above.
- Confirm you have a working Profil Zaufany and can log in to MOS yourself.
- Collect the passport, photo and employer documents first, and check the names on all of them.
- Fill in the form slowly. Don't copy answers from a friend's application: dates, addresses and job details must be yours.
- Pay PLN 440 and PLN 100 separately, with the applicant's name in the transfer.
- Upload every file, then re-open each one to check it opened properly.
- Submit with days to spare, and save the confirmation page.
Rahim, a welder from Chattogram, filed with three days left and a payment under his cousin's name. The office sent a summons, he answered inside the deadline with a corrected confirmation, and the case moved on. (An illustrative composite, not a real client.) Practical tip: write the applicant's name in the payment details every time, and screenshot both payments before you close the bank app.
