Polish Residence Card Renewal 2026: Deadline & Fees

Polish residence card renewal in 2026: file in MOS before your last legal day, pay PLN 340/440, print the certificate. Message us on WhatsApp.

It's Thursday evening. You pull out your karta pobytu, squint at the expiry date and do the maths: nineteen days. Your HR said last month they would 'sort it out'. Nobody has sorted anything. Polish residence card renewal feels like a trap when you're standing in that spot, but it's built around one simple rule. File before your legal stay ends, and the law keeps you covered while the office thinks. Miss it, and you're explaining yourself to a very different kind of official. And since 27 April 2026 there's a new twist: everything goes through MOS, online only. Here's the renewal in the order you'll actually live it, with real PLN amounts and no guessing.

What's the real deadline for Polish residence card renewal?

The rule is short and unforgiving: your application has to be submitted no later than the last day of your legal stay in Poland. The date that counts is the one on your permit and card. It is not the day your HR gets round to it, and it is not the day you finally find a free evening. The official guidance is on gov.pl/web/cudzoziemcy, and it says the same thing.

Why does one day matter so much? Because if you file correctly and in time, your stay is treated as legal from the day you file until the decision becomes final. That protection is tied to filing during your legal stay. File a day late and you lose the safety net, and you are in a much harder situation than a renewal.

So when should you start? Earlier than feels necessary. Documents take time: a new employer letter, a rental contract, translations, a fresh photo. Filing on the very last day is legal, but it leaves you zero room if MOS rejects an upload or a paper turns out to be wrong.

Practical tip: Put your last legal day in your phone calendar today and set a reminder three weeks before it. Filing on the final day works legally, but it leaves you no space to fix a problem.

Is online filing in MOS now the only way to renew a Karta Pobytu?

Yes. From 27 April 2026, applications for temporary residence are submitted only electronically through the MOS 2.0 system at mos.cudzoziemcy.gov.pl, using a Trusted Profile login. Paper applications that had not reached the office before that date will not be examined, whatever day they were posted.

The Trusted Profile (profil zaufany) is the part that trips people up. You normally create it through a Polish bank or another official method, so sort it out well before your deadline. Our guide to the best bank in Poland for foreigners and profil zaufany explains how the pieces fit.

In practice, the online route looks like this:

  1. Log in to MOS with your Trusted Profile and choose the right type of case for your permit.
  2. Fill in the form and check every date, passport number and address against your documents.
  3. Upload your attachments as MOS asks. A quick phone photo of a paper is not the same as a proper scan, and a scan without the required signature or certification can be worthless to the office.
  4. Pay the stamp duty and keep the proof of payment.
  5. Submit, then wait for the voivodeship office to check the file for formal defects.

If your case is based on a job, the employer's information goes into the same system. If that is the weak link, talk to your HR now, not on day eighteen.

How much does a Karta Pobytu renewal cost in 2026?

There are two payments, and they happen at different moments. The first is stamp duty when you file. The second is the card issuance fee, paid after a positive decision. The offices publish the amounts, and you can cross-check them on the UDSC fees page.

Budget separately for sworn translations, photos and any documents you need to replace. We don't quote prices for those here because they vary by city and by provider. Always pay duty into the account listed on the official page for your office, not into one a third party sends you.

What replaces the stamp, and can you travel while you wait?

The old routine was a stamp in your passport. In MOS, once the voivode confirms your application has no formal defects, you can print a certificate confirming it was submitted. It is issued free of charge and does the same job: proof that your stay stays legal while the case is open.

Now the part people miss: the certificate does not authorise travel inside the Schengen area. You can travel to your home country, but returning means meeting entry rules from scratch, which may mean a visa. Don't book a flight on the strength of a certificate. We covered this exact fear in Nepal Citizens in Poland: The Stempel Is Gone, and the logic applies to every nationality.

So the safest plan is simple. File, print the certificate, keep a copy on your phone and one on paper, and don't leave Poland until you hold the new card unless you've taken advice on your specific case.

What happens after you file: fingerprints, missing documents, the wait

Filing is the start of the process, not the end. A few things can land in your MOS inbox, and each has a clock.

If the wait drags on, there is a formal tool for it. Read what ponaglenie does for Indian citizens before you start phoning the office. And if the answer is a refusal, the clock is short: you have 14 days to appeal.

An illustrative example (composite, not a real client): Rohit, an IT tester from Pune, assumed the employer had filed the renewal. Nine days before the legal stay ended, they checked MOS and found nothing submitted. They filed that day with a complete set of documents, paid PLN 440 duty, and printed the certificate once the office confirmed the file had no defects. The stay stayed legal. A week later and it would have been a different story.

Frequently Asked Questions

My card expires in 10 days and I haven't filed. Am I already in trouble?

Not yet. If you file in MOS before the last day of your legal stay, and the application is formally correct, your stay is covered while the case is pending. Gather the documents today and file as soon as the file is complete. Don't wait for a perfect set if the deadline is days away.

Can my employer file the renewal for me?

Your employer has a part in many job-based cases and fills in or supplies information for it. But the permit is yours, and you are the one who loses status if it is not filed. Ask HR for a clear filing date and check MOS yourself.

Do I still get a stamp in my passport?

No. In MOS, you print a certificate once the office confirms there are no formal defects. It is free and replaces the stamp for proving that your stay is legal. It does not give you the right to travel within Schengen.

What if I am late and my legal stay already ended?

Then the situation is different and time matters even more. Don't guess or wait for it to sort itself out. Contact a specialist immediately with your dates, because the right route depends on how long ago the stay ended and why.

Renewal is boring when it's done early and stressful when it isn't, and we'd much rather you were bored. Legal Solutions — 98% approval rate. Drop us a WhatsApp on +48 735 248 525 — we read every message.
