It's been three weeks. You've sent four WhatsApp messages, two voice notes and one very polite email. The blue ticks are there. The answer isn't. Your Karta Pobytu (Polish residence permit) runs out in a few months, you paid a legalization firm in Poland a big part of the fee upfront, and now you're lying awake asking the question nobody wants to say out loud: is this firm even real?
Take a breath. A silent lawyer is not always a scammer. But silence is also not something you wait out. Below are seven checks you can do from your phone tonight, plus a plan for the next seven days.
Here is an illustrative example (a composite, not a real client). Ravi, a welder from Punjab, asked his firm for one thing after weeks of silence: the case number. There wasn't one. Nothing had been filed. Because he asked while he still had time on his current permit, he could file properly, with help, before the deadline. The lesson is simple: ask early, and ask for something concrete.
Is a silent lawyer always a scam? Rule out the boring reasons first
Most silence has a dull explanation. Before you panic, go through the list below. It takes ten minutes and it keeps you from accusing an honest person.
- The person handling your file is on leave, sick or no longer works there, and nobody told you.
- The file is waiting for the voivodeship office (urząd wojewódzki). Decisions can take months, and there is genuinely nothing new to report.
- You're writing to an old number, or to a WhatsApp account the firm stopped checking.
- The firm answers by phone or email only, and your messages are sitting in the wrong channel.
Here is the test that separates the two cases. Send one specific question, for example: 'What is the date my application was filed, and what is the case number?' An honest firm answers within one or two working days, even if the answer is 'we're still waiting'. A firm with something to hide goes quiet, changes the subject, or gives a new excuse every time.

How do you check if a legalization firm in Poland is real? Seven checks
None of these checks needs a lawyer. They need a phone, ten minutes and a bit of stubbornness. Do them in order. If a firm fails two or more, treat it as a warning, not a coincidence.
- Look the company up in the official registers. A real company has a name, a registered address and a tax number (NIP) you can match in the business registers (KRS for companies, CEIDG for sole traders). If the firm can't give you these details, or they don't match what is on your contract, that is a problem.
- If they call themselves a lawyer, check the lawyer register. In Poland an advocate (adwokat) or legal adviser (radca prawny) is listed in a professional register. Ask for the full name and look the person up. Many honest firms are not law practices at all and say so openly. What matters is that nobody pretends to be something they aren't.
- Insist on a written contract you can read. It should state who the parties are, what exactly the firm will do, what is included in the price and what is not, and what happens if the application is refused. If the contract is only in a language you don't understand, ask for a translation before you sign.
- Pay by bank transfer to a company account. Keep every confirmation. Be careful with cash-only deals, payments to a private person's account, or 'pay today to lock the price' pressure. Staged payments tied to real steps are a healthier sign than 100% upfront.
- Ask for proof that the case exists. That means the filing date, the case number and the confirmation of submission. Since 27 April 2026, applications for temporary residence are filed electronically through the MOS system. As far as we can see from the current guidance, the account belongs to the foreigner, tied to a Trusted Profile (Profil Zaufany), and a representative does not get a separate account. So ask the firm to explain exactly how they file and how you will be able to see your own case.
- Read what you signed as a power of attorney. A power of attorney (pełnomocnictwo) lets someone act for you in front of the office. Check its scope and dates, and make sure you hold a copy. If you never signed one, ask how the firm is acting for you.
- Watch for requests that don't make sense. No firm needs your Profil Zaufany password or your bank PIN. A firm also shouldn't need to keep your original passport for months. Scans are enough for most steps, and you attend fingerprinting yourself.
For the official rules on residence applications, use the immigration portal at gov.pl/web/cudzoziemcy. Your regional office, for example the Mazowieckie voivodeship office in Warsaw, publishes its own instructions on uw.gov.pl. If a firm tells you something that contradicts those pages, ask them to show you the source.
Which red flags matter most when a lawyer stops answering?
One red flag can be an honest mess. A pattern is something else. These are the signals we see again and again in stories from workers who lost months.
- A promise of a guaranteed result. Nobody controls the decision except the office. Anyone who guarantees approval is selling hope, not legal help.
- No case number after several weeks, always with a new reason: 'system problem', 'waiting for a stamp', 'office closed'.
- Only one personal phone number, no office address you can visit, no company name on messages.
- Pressure about money and deadlines, but no pressure about documents. A serious file always needs your documents.
- A firm that tells you not to contact the office yourself or not to check your own case.
A separate topic is recruitment agencies that find you the job itself. They have their own official register, and we explain how to check it in Fake Recruitment Agency in Poland: 4 Checks in the KRAZ Register Before You Pay. What should you do this week if the firm has gone quiet?
Don't send a fifth friendly reminder. Change the type of message. Here is a plan for seven days, in a sensible order.
- Day 1: send one clear written message. Ask for the case number, the filing date, the confirmation of submission and a copy of the power of attorney. Give a deadline of 48 hours, and say you will seek help elsewhere if there is no reply.
- Day 2: collect your own paperwork. Contract, bank confirmations, chat screenshots, passport copies you sent, and your current permit with its end date.
- Day 3: check what you can see yourself. Our guide on how to follow a case after the April reset helps here.
- Day 4: check your legal stay. What protects you is an application filed in time, not a promise from the firm.
- Day 5: if a decision has already arrived, count the days. A refusal has a short appeal window, and the clock runs from the date you received it.
- Day 6: get a second opinion on the file. Bring your contract and proof of payment.
- Day 7: decide. Keep the firm and set a clear timetable, or end the relationship in writing and appoint someone else.

Practical tip: Save every message and every payment confirmation in one folder on your phone today, before you confront anyone. If the firm deletes the chat, you still keep your evidence.
