What does the hosting agreement have to do with your residence permit?

Everything. The permit is granted for the period you'll actually conduct the research, and that period can be anything from just over 3 months up to 3 years. The office looks at your hosting agreement to see how long you're staying and why. If the agreement runs 18 months, don't expect a 3-year card.

So treat the agreement as the first document of your file, not the last. Before anyone signs, check four things:

  1. Your name and passport details are spelled exactly as in your travel document.
  2. The start and end dates match the research period you're asking the office to cover.
  3. The institution is the one on the approved list, not a partner institute or a spin-off company.
  4. The institution is ready to complete its own part of the application. The receiving unit fills in a separate form that goes into your file next to your personal application.

One more thing about duration. The permit does not renew itself. If your project is extended, you need to apply for the next permit before the current one expires, with a new or amended agreement behind it. Put that date in your calendar on the day the card arrives.

How do you file, and what does a researcher permit cost?

Applications for a temporary residence permit are filed online only, through the Case Management Module (MOS). There's no paper route. The official fee table lists PLN 340 for a temporary residence permit and PLN 440 for the combined residence-and-work permit used in ordinary employment cases. Here's the order that works:

  1. Get the hosting agreement signed and confirm the institution is on the approved list.
  2. Create your MOS account and read the list of common mistakes before you touch the form.
  3. Complete the application form and ask the receiving unit to complete its own form.
  4. Upload a digital biometric photo, scans of every page of your travel document, and proof that you paid the state fee.
  5. Submit, then watch your MOS account and your email. If the office asks for something, answer within the deadline it gives.

Can your spouse and children come on your researcher permit?

Yes, and this is where the researcher route beats most others. A spouse or minor child can get a residence permit in Poland on the basis of your researcher permit. Under the EU rules behind this permit, family members aren't made to wait for a minimum period of residence or to show that you're likely to get permanent residence. Two practical notes. The marriage has to be recognised under Polish law, so bring a proper marriage certificate with the right translation and legalisation for your country. And file the family applications in the same week you file yours, not after your own card arrives. The more your documents line up, the less the office has to question.
